Preparation

  • Ensure all necessary staff are in attendance.
  • Choose a quiet environment with no interruptions or distractions.
  • Focus on ONE area of communication – written, verbal (business-based) or interpersonal.
  • Make a note of all points in your production chain/systems and procedures where communication is required.
  • As human beings, like it or not, emotions can play a large role in how communication is delivered, received and interpreted.
  • If you identify someone who may be triggered by this forum, consider speaking to them beforehand to ensure they are comfortable attending and can prepare if needed.

Set expectations

  • Let all present know that all opinions will be respected and positive mindset is expected.

Step through

  • Run through the risks of poor communication (asking for input from the group)
  • The definition of communication, how do we know when it has taken place.   i.e. communication has not occurred until the receiver acknowledges receipt and confirms understanding.
  • Cover each of the points of communication that you identified in the set up of the talk – ensuring all understand when and how communication should occur.
  • If the group identifies any ‘holes’ in the chain of communication, work together on an agreed solution, ensuring that all parties are involved.

Follow up

  • Set a date to revisit any issues discussed to ensure successful implementation.
